What to do to prepare for your first appointment
Please make sure to verify your insurance coverage prior to making your first appointment.
You may have a great insurance plan; however, that does not always mean it will cover nutrition services.
The dietitian will send you a link to sign into your private patient portal. This is where your consent and intake forms will be located. Please fill these out at least 48 hours prior to your first appointment. You will be notified via email anytime a new file is added for you to view. You may be asked to track your food and drink intake prior to your visit. If so, a form will be provided to you in the portal. Please note that this is NOT the time to change your diet. Your dietitian would like to see how you have been eating regularly in order to be able to help you make changes moving forward.
What to expect at your first appointment
During your first session, we will spend some time getting to know each other. We will review all aspects of your life that contribute to your health as well as your Initial Assessment form and any food recall you’ve filled out. The first visit may include a fair amount of nutrition education based on your current medical condition and/or your goals.
This first visit is also a time for setting and reviewing short and long-term goals.
Your dietitian will be taking a credit card number at your first appointment. This will not be charged unless there is a balance/co-pay or your claim gets denied. You will be notified in the event that your card is charged. Your card may also be charged in the event of violation of the cancellation policy. The cost of the initial 60-minute visit is $150 and the cost of the 30-minute follow up is $80.
What to expect at your follow up appointment
At the end of your initial appointment, we will determine the projected frequency of your follow-up appointments. This may be weekly, biweekly, monthly, etc. Follow-ups are scheduled for 30 minutes. A Check-In Form will be available in your portal and we ask that you complete this 24 hours prior to each follow-up appointment. The form should not take more than a couple minutes to fill out and it lets us know how you’re doing and allows you to ask any questions you may have for the dietitian. Getting this form in on time is crucial to helping your clinician develop a potential plan for you.
Most health insurance companies cover the cost of nutrition counseling.

Most Aetna, Cigna and Blue Cross Blue Shield, United Health Care and Medicare. plans
Check with your insurance carrier to see if your benefits cover nutrition services. If your insurance carrier is NOT listed above, check with your carrier to see if they cover out-of-network nutrition counseling. Cash pay options are available.
We can also provide a Super Bill for reimbursement for out-of-network expenses. Ask your dietitian for details.

To find out if your plan covers Nutrition Services, contact your insurance carrier and ask the following questions:
Do you reimburse the following CPT Codes: 97802, 97803, 98966, and/or 98969?
How much do you cover?
How many visits do you cover?
Do you reimburse for ICD-10 code Z71.3 (Dietary Counseling and Surveillance), or is a medical diagnosis required from a physician? ***
